Privacy Policy

1. Who we are

This website, automaticcompanies.com, is operated by Automatic Companies LLC, a limited liability company organised under the laws of the State of Delaware, United States ("Automatic Companies", "we", "us"). We are the controller of the personal information described in this policy. You can reach us at contact@automaticcompanies.com.

This policy covers this website only. The companies we build and back, including DataFactor and Lev3, run their own websites under their own privacy policies.

2. What we collect

Information you give us

When you use the contact form, we collect what you type into it:

• your name and email address;
• your phone number, if you choose to add it;
• the reason you are getting in touch (investing or partnering, building or operating, or needing demand or supply) and your message;
• a voice recording, if you choose to record one instead of or in addition to writing. The recording is uploaded when you stop recording, before you press Send, so that it is ready to attach to your message. If you remove it or never send the form, we delete it.

If you email us directly, we keep the email and our reply.

Information collected automatically

When you visit the site, our hosting provider and the analytics tools listed below record:

• the pages you view, the time you spend on them and how far you scroll;
• which links and buttons you click, including the contact form's Send button;
• the page that referred you to us and any campaign parameters in the address you arrived on (for example utm_source, fbclid, gclid or ttclid);
• your browser type, operating system, screen size, language and approximate location derived from your IP address;
• identifiers stored in cookies or similar technologies, described in section 4;
• technical errors that occur in your browser while the page loads, so we can fix them. Error reports contain the page address, the error message and the browser version. They do not contain what you typed into a form.

Links in emails we send

If we email you and you open a link in that email, the link may carry a token that tells us the visit came from you. We use it to connect your visit to the conversation we are already having with you, and we remove it from the address bar as soon as the page loads. We do not use it to follow you anywhere else.

3. How we use it

We use personal information to:

• answer your message and, if there is a fit, arrange a conversation;
• understand which of our pages and messages work, so that we can improve them;
• measure whether the advertising we occasionally run brings people to the site, and stop paying for advertising that does not;
• keep the site secure, detect spam and abuse, and fix errors;
• comply with the law and enforce our terms.

Where the law requires a legal basis, we rely on our legitimate interest in running and improving a business website and in responding to people who contact us, on your consent where we ask for it (for example when your browser settings or a consent tool ask you about analytics cookies), and on legal obligations we are subject to.

We do not sell personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.

4. Cookies and similar technologies

Cookies are small files a website stores in your browser. We use a small number of first-party cookies of our own and the cookies of the analytics and advertising tools below. You can block or delete cookies in your browser settings; the site works without them, though we will then not remember where you came from.

PostHog, Google, Meta and TikTok may also receive the page address and the technical information described in section 2 when their scripts load. Their own policies describe what they do with it: PostHog, Google, Meta and TikTok. When you send the contact form we may also report the fact of the submission (not its content) to Meta and TikTok through their server-side interfaces, so that the same event is not counted twice.

5. Who we share it with

We share personal information only with:

• service providers that host the site and store what you send us, run analytics and advertising measurement, deliver email, and keep our records of conversations. They act on our instructions and may not use the information for their own purposes;
• the founders and staff of Automatic Companies and, where your message concerns one of the companies we build, the people running that company;
• professional advisers such as lawyers and accountants, under confidentiality;
• authorities where the law requires it or where it is necessary to protect our rights, our people or the public;
• a successor if the business is sold, merged or reorganised, in which case this policy continues to apply.

6. Where it is processed

We are based in the United States and process personal information there. Some of our service providers process data in other countries. If you are in the European Economic Area, the United Kingdom or Switzerland, this means your information is transferred outside your region; where required we rely on standard contractual clauses or an equivalent mechanism to protect it.

7. How long we keep it

• Messages sent through the contact form, voice recordings and emails: for as long as the conversation is live and for up to three years afterwards, unless a longer period is required by law or we are still in a business relationship with you.
• Analytics data: PostHog and Google Analytics retain event data for up to 14 months; we may keep aggregated statistics that no longer identify anyone for longer.
• Error reports: 90 days.

8. Your rights and choices

Wherever you live, you can ask us to:

• tell you what personal information we hold about you and give you a copy;
• correct information that is wrong or incomplete;
• delete your information;
• stop using your information for a particular purpose, including analytics or marketing;
• provide your information in a portable format.

If you are in the European Economic Area, the United Kingdom or Switzerland, these are rights under the GDPR and equivalent laws, and you may also object to processing based on our legitimate interests, withdraw consent you have given, and complain to your local data protection authority.

If you are a California resident, the California Consumer Privacy Act gives you the rights to know, to delete, to correct and to opt out of the sale or sharing of personal information. We do not sell personal information. The advertising measurement described in section 4 may count as "sharing" under California law; you can opt out by blocking the Meta and TikTok cookies in your browser or by writing to us. We will not treat you differently for exercising any of these rights.

To exercise a right, email contact@automaticcompanies.com from the address you used with us, or tell us how to verify that the request is yours. We answer within the time the applicable law allows, and normally within 30 days.

9. Security

The site is served over HTTPS. What you send us is stored with providers that use industry-standard access controls and encryption, and it is available only to the people who need it to reply to you. No method of transmission or storage is perfectly secure, so we cannot promise that information will never be accessed without authorisation; if that happens and the law requires it, we will tell you.

10. Children

This site is for adults conducting business. It is not directed at anyone under 16, and we do not knowingly collect personal information from them. If you believe a child has sent us information, write to us and we will delete it.

11. Other websites

The site links to other websites, including those of the companies we build and to LinkedIn. We are not responsible for their content or privacy practices. Read their policies before you share information with them.

12. Changes to this policy

We update this policy when our practices change. The effective date at the top tells you when it was last revised. If a change is significant, we will say so on this page or, if we have your address, by email.
